Employee Overview

An employee is a person that works at your business.  

Email Addresses

They may have a personal email on their person card + an employee email address on the employee card.

Roles

Roles provide access to screens and secure features - see below

You may have a login to multiple ABN's with the ability to change roles - See Employee Contexts

Bus Driver

Used for Shuttle and Tour rosters and Bus runs.  Can access Drivers portal

Truck Driver

Used for delivery runs.  Can access Drivers Portal

Branch Manager

Used to indicate visibility and reports received

Reports Received by a branch manager.  Note - each Branch Manager will receive reports for their branch only, head office branch managers will receive reports for all branches.

  1. Stop supply report 
  2. Sales order below minimum GP% (internal message sent)
  3. Stock Related reports
    1. Return Authorisation reports 
    2. Stock Exception reports (short supply and short dated)
    3. PO short dated receipt (Expiry dated products)
    4. Move Order discrepancy
  4. Tours
    1. Bookings summary (tours)

Setting up a new employee

It is very important that the first time you save the employee you have entered a Login Code and ticked Allow Login as it will send the user a password

  • Otherwise you will have to contact us to reset the users password.

navigate to the employee card - enter a new person

Create a new person

If you need to you can set their culture (to affect date formats etc)

Add a photo from a file, scanner or webcam

Enter the company they are employed by.

Note that a single person may be employed by multiple organisations if you are using Global Persons in a Shared Entity Scope scope.

Add roles to their user

Save

The user will then get the email you have setup in your email templates

Usage Context = Authentication, System Usage Created or Reminder (Depending on when you want it used


Note Employees can change their own passwords on the login screen

If the person is a driver, sales rep and other setups in the system

You will need to have the secure feature "Can Maintain Employee Data"

How to allow them to change from one company to another (when you have multiple companies in the system)

When you have multiple companies in the system - they will all need to share the same Entity Scope so users can change from one to another.

How to create a second login for the same employee

This is useful when you have one login for one ABN want different roles in other ABN's - and avoids creating a fake employee

To create a second user login;

  1. Admin menu, Employees/Contractors
  2. Enter your login code and tab out
  3. Choose Edit, Make an in-place copy/duplicate
  4. Enter a new Login Code, e.g. STEVEO2
  5. Change your initials, e.g. S2
  6. Change your default warehouse if you want
  7. Save
  8. Assign the roles that you want. You can open your original Employee card to see what you currently have

IP Address Restrictions

Any login can be limited to a range of IP addresses. This ensures the login only works in a physical location you have.  A great example is the POS to only work in the retail store, a contractor can only access the system when on your site and other situations.

IP address restrictions are currently managed by request.
